Products:  Office 365 (SharePoint Online)

Big Idea

People resort to Search when Navigation Fails” … as Search wastes excessive time & money, let’s plan up front to provide a flawless Navigation process for the short-term and the means to scale the terms and hierarchy into the future.

The ability to provide a means of proactively managing the details or metadata of your organization related to projects, events, sites, entities, etc. within the context of a small business or large enterprise provides for a more intuitive and consistent user experience. On a larger scale, it builds awareness of the structure of things and people while providing for broader scalability and flexibility. Review Introduction to Managed Metadata

Licensing Impact

There are multiple levels of licensing available; the Microsoft website includes all of the details and options you need to consider.

As it relates to Managed Metadata, an Enterprise Level Subscription is required to take advantage of this service; it is NOT available in the Business Level Subscriptions.  In addition, Office 365 has the Managed Metadata service ready to go as it’s already pre-configured in Central Administration.

Access the Term Store Management via Site Settings to configure the available properties and experience related to each site.

  • Site Features:  Verify the feature of Metadata Navigation and Filtering is Active!
  • Columns:  The Managed Metadata column type is available as a field type within any list or library; associated any metadata property as a column to provide a consistent means for users to select an applicable value.
  • List/Library:  Select List or Library Settings as applicable, and then within General Settings, select Metadata navigation settings. Configure the Hierarchy section and Key Filters section as needed; when the user arrives at the list or library page, these sections will appears along the left menu area of the page. Review Metadata Navigation.

This feature may be helpful for small and large lists or libraries alike and provides a level of efficiency as managed metadata related columns don’t need to consume precious real estate in the body of the page.
